About this policy
Futago Solutions ("we", "us") provides technology consulting to medical practices in Canada. This policy explains how we collect, use, disclose and protect personal information through this website and in the ordinary course of our business. We handle personal information in accordance with British Columbia's Personal Information Protection Act (PIPA) and, where applicable, the federal Personal Information Protection and Electronic Documents Act (PIPEDA).
Information we collect
- Contact information you provide. When you email us, we receive your name, email address and anything you choose to include in your message.
- Booking information. When you book an assessment, our scheduling provider collects your name, email address, chosen time and any notes you add.
- Business information. During an engagement, we collect business contact details for practice staff and information about the practice's systems and operations.
- Technical information. Our hosting provider automatically processes basic technical data when you visit this website, such as your IP address, browser type and the pages requested, to deliver the site securely.
This website does not use analytics, advertising or tracking cookies. Our hosting provider may use strictly necessary cookies for security purposes.
Patient health information
Please do not send patient health information through this website, by email or in booking notes. Where an engagement involves access to personal health information held by a practice, that access is governed by a separate written agreement with the practice, which sets out how the information is protected, used and returned or destroyed.
How we use personal information

We do not sell or rent personal information, and we do not send marketing communications without your consent.
Service providers and storage outside Canada
We use a small number of trusted service providers to operate our business, including website hosting and security (Cloudflare), appointment scheduling (Proton), email and document storage (Sync.com). These providers process personal information on our behalf and only for the purposes described in this policy.
Business documents and engagement records are stored with Sync.com, which stores data in Canada. Some of our other providers store or process information outside Canada, including in the United States and Switzerland. Information held outside Canada may be subject to the laws of those jurisdictions, including lawful access by their authorities.
Retention
We keep personal information only as long as needed for the purposes described above or as required by law, including business and tax record-keeping requirements. When it is no longer needed, we securely delete or anonymize it.
Safeguards
We protect personal information with reasonable administrative, technical and physical safeguards appropriate to its sensitivity, including encrypted connections, access controls and limiting access to those who need it.
Your rights
You may request access to the personal information we hold about you, ask us to correct it, or withdraw your consent to its use, subject to legal and contractual limits. We will respond within 30 days. To make a request, contact us using the details below.
